Standard Operating Procedures for Coaches

So that we can stay organized and keep the lines of communication open for our clients and team, please follow the below Standard Operating Procedures as you begin your coaching journey!

I will be sending you a Contract, NDA, and W9 (if I have not already sent it). Please sign all 3 documents at your earliest convenience, and return to me at kelly@thekellymerblercompany.com, CC’ing my assistant Addison Dake at adake@adminamy.com.

We will ALSO need a copy of your liability insurance to have on file, so please include that in your email as well.

2. SET UP YOUR MEETING TOOL

We suggest signing up for a free Zoom account if you don’t already have a meeting tool that you use.

What has worked best for us is creating a “recurring, no specified time” meeting, so that you and your client can jump on a call at any time.

3. Schedule your chemistry call

Once you complete steps 1 and 2, the next step is scheduling a chemistry call with your client. Use whatever scheduler works best for you that you’re used to! If you don’t already have a scheduler, we recommend creating a Calendly account and sending it to your client to schedule the call at a time that works best for them.

4. get info to my admin

Addison will be partnering with you to relieve you of some of the more tedious admin tasks. To prepare her well, please email her at adake@adminamy.com with the following:

  • Send her the recurring Zoom invite you created from Step 2 so that she can include it in your client’s Dropbox folder.

  • Send her the link to your scheduler from Step 3 in case your client needs it.

  • Ask her for a Coaching Session Preparation Form (CSP Form) link. This will be a form your client can fill out prior to every call to help better prepare the both of you for the session.

  • If your client is being sponsored, send Addison the sponsor’s email address. Addison will send the sponsor the Coaching Sponsor Intake form (CSI form) and will forward it to both you and Kelly once the results come in.

5. Set up your coaching call scheduler

Once Addison has responded back to you with your own personalized CSP form link, set up a Coaching Call link with your preferred scheduler.

  • We highly suggest setting up your link to send an automatic email reminder to the client three days prior to the session, which includes a link to the CSP form. That form should be filled out by your client prior to every session, so this is a great way to automate an email reminder to them.

  • We also suggest automating a follow-up message to the client with the link to your scheduling platform, so that they can book their next call with you at a time that works for them.

6. introduce your client to addison

So that Addison can be a trusted resource to your client, please set up an email introduction with your client and Addison (adake@adminamy.com). Here is a great template:

[CLIENT NAME], I am so excited to begin coaching with you! I just wanted to introduce you to Addison who will be helping you along the way. She will be sending you some important information to get you started. Don’t hesitate to reach out to her if you have any questions! Sincerely, [YOUR NAME]

Addison will then:

  • Send your client a top 5 assessment

  • Reply to this email and send them a Coaching Pre-Questionnaire, the Zoom invite from Step 2, and let them know an assessment is waiting in their email.

7. Complete the chemistry call

Complete the chemistry call, being sure to show them this video during the call.

Once the Chemistry Call has been completed, please notify Addison via email (adake@adminamy.com).

Addison will then send the client the following information, CC’ing you, the coach:

  • Welcome to Coaching packet

  • Reminder for them to complete the assessment

  • Reminder for them to book their first call with you with the scheduler link from step 4.

8. Complete the coaching calls

If the client does not show up for the calls, please let Addison and Kelly know via email so that Kelly can decide the next steps.

If you have any resources you’d like added to the client’s Dropbox folder, please send them to Addison and she will load them in.

Once all sessions are complete, please notify Kelly and Addison via email so that they can close the account.

9. Invoicing

All invoicing to the client will come directly from The Kelly Merbler Company.  If you are extending any services or adding any services please communicate that back to Kelly and Addison so we can be sure to invoice the client so you are paid correctly. 

Payment for coaching services will be paid once the client pays our invoice.  Please submit any expenses if travel is involved to Addison in an Excel spreadsheet with receipts attached, so we can create a final invoice for the client.
